DataInsight Sourcing Copilot is designed to help recruiters ask better, role-relevant questions during candidate calls. It does not save call recordings, and temporary transcript context is discarded when the live session ends.
1. Scope and who we are
This Privacy Policy explains how DataInsight Systems, Inc. (“DataInsight,” “we,” “us,” or “our”) handles personal information through the DataInsight Sourcing Copilot browser extension, its supporting services, and these product pages.
For account, product, and service data that we determine how to use, DataInsight acts as a controller or business. When we process candidate call content on behalf of an organizational customer, DataInsight generally acts as that customer’s processor or service provider. The customer is responsible for its recruiting process, privacy notices, lawful basis, and candidate requests.
2. Information we process
| Information | Why we process it | Typical handling |
|---|---|---|
| Call-tab audio from the other participant | To transcribe the live conversation and generate a relevant follow-up suggestion | Streamed for live processing; not saved by the Extension as a recording |
| Temporary transcript context | To understand what has been said, avoid repetition, and explain why a question may be useful | Held in memory for the active session and discarded when it ends |
| Role and sourcing context, such as title, specialty, credentials, shift, location, and notes you enter | To tailor suggestions to the open role | Stored locally in the browser where indicated and transmitted for processing during the session |
| Account information, such as name, email, organization, account ID, and sign-in metadata | To authenticate users, administer access, secure the service, and support customers | Stored for as long as the account or customer relationship requires |
| Technical and usage data, such as extension version, session timing, error details, and security logs | To operate, protect, debug, and improve the service | Retained according to operational and security needs |
| Support communications | To answer questions and resolve issues | Retained as needed to manage the request and our business records |
Do not use the Extension to request or capture unnecessary sensitive information. The Extension is for sourcing conversations, not patient care, medical intake, diagnosis, or collection of protected health information.
3. How a live call is processed
- You start the session. The Extension does not listen automatically. Chrome asks you to share the current call tab.
- Audio is captured from the call tab. The Extension is designed to process the other participant’s side of the call, not your microphone.
- Audio is sent to DataInsight’s service. It is buffered briefly and sent to a transcription provider to create temporary text.
- A suggestion is generated. Relevant transcript and role context are sent to an AI provider, which returns one proposed question and a short reason.
- The suggestion appears in the call. You choose whether to ask, edit, or ignore it.
- The session ends. The in-memory transcript and suggestion thread are cleared. DataInsight does not create a saved call recording through this Extension.
4. How we use information
We use personal information to provide and personalize the Extension; authenticate users and manage accounts; maintain reliability and security; respond to support requests; understand feature performance; comply with law; and enforce our agreements.
We do not use the Extension to make autonomous hiring decisions. The Extension proposes follow-up questions; the recruiter controls the conversation and the organization controls its sourcing and hiring process.
5. Service providers and disclosures
We may disclose information to vendors that help us operate the service, including:
- Identity providers that authenticate users and maintain account records;
- AI and transcription providers that process call audio and temporary text to return transcripts and suggestions;
- Infrastructure, security, and monitoring providers that host and protect the service; and
- Professional advisers where reasonably necessary for legal, audit, insurance, or compliance purposes.
We may also disclose information if required by law, to protect rights and safety, in connection with a corporate transaction, or with your direction or consent. We do not sell call audio or transcript content. We do not share it for cross-context behavioral advertising.
6. Legal bases
Where applicable law requires a legal basis, we process information as necessary to perform a contract, for legitimate interests such as providing and securing the service, to comply with legal obligations, or with consent. Our customer determines the legal basis for candidate information it asks us to process on its behalf.
7. Retention
Call audio is processed transiently and is not retained by the Extension as a recording. Temporary transcript context and the on-screen suggestion thread are kept only for the active call session and are then discarded.
Role context saved in browser storage remains until you change it, clear it, or remove the Extension. Account, support, security, and operational records may be retained for as long as necessary to provide the service, meet contractual or legal obligations, resolve disputes, and protect the service.
8. Security
We use administrative, technical, and organizational safeguards intended to protect personal information. No system is completely secure, and we cannot guarantee that unauthorized access or loss will never occur. Keep your account secure, use the Extension only on trusted devices, and contact us if you suspect an issue.
9. Your organization’s responsibilities
Organizations and recruiters using the Extension must provide required notices, obtain required consent, limit collection to relevant information, apply appropriate access controls, and use human review for sourcing and hiring decisions. Your organization’s privacy notice may provide additional information about how it handles candidate data.
10. Privacy rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of personal information; object to or restrict processing; or withdraw consent. You may also have the right to appeal a response or complain to a privacy regulator.
If your request concerns candidate data processed for a DataInsight customer, contact that organization first. We will assist the customer as required by our agreement and applicable law. For DataInsight account or website data, contact us using the address below. We may need to verify your identity before completing a request.
11. International processing
DataInsight and its providers may process information in the United States and other countries. Where required, we use appropriate safeguards for international transfers. Organizational customers may contact us for information about applicable transfer mechanisms.
12. Children
The Extension is a business product and is not directed to children under 16. We do not knowingly collect personal information from children through the Extension.
13. Changes to this policy
We may update this Privacy Policy as our service or legal obligations change. We will post the revised policy and update the date above. We will provide additional notice of material changes when required.
